Reporting views of documents by department

Overview

This article explains how to generate a report of views of a specific document by department (which refers to the Department field in the User Profile, which often indicates the role).

Prerequisites

You need Cloud Analytics to be enabled in your instance for the procedure described here to work, either in a Cloud Instance (where it is enabled by default) or in a Hosted/On-Premise instance (where can be enabled on request).

Solution

For example, trying to find how many people from the "consulting" department viewed the document https://yourcommunity.jiveon.com/docs/DOC-10192, you can access the analytics export (Avatar menu > analytics export) while logged in with a user who at least has "manage system" permissions:

Once you are at the analytics extract screen you can set the following filters (you can add filters by using the blue "+" button):

  • Activity time = time period you want to pull the report for. Note that as per the Jive Cloud Analytics Data Retention Policy Jive Cloud Analytics service will include the current and previous 2 calendar years only
  • ContentActionObject.Url = https://yourcommunity.jiveon.com/docs/DOC-10192
  • Action = ACTIVITY_VIEW_DOCUMENT
  • Actor.Profile.Department = consulting 

You can then click "Preview" to create a preview of the report and check if the data is correct.

If the preview is showing the data you expect, you can download the content CSV to get an export of the results. For more details on the various available filters, please refer to the Official Documentation page for the Analytics Export.
