Improving Content Findability with Tags, Synonyms, and Promoted Search

Overview

Users may search for an abbreviation or informal term and not find the canonical document. A common example is searching for T&C and not seeing a document titled Terms and Conditions.

Jive Content Search indexes the content title (Subject), body, and tags. You can improve findability by combining tags on the content, search synonyms, and promoted search results. This article describes when to use each option.

Information

When users search for content, Jive searches:

  • Subject: Title field of content items
  • Body: Content of content items
  • Tags: Tags added to content items

Results are then ordered by relevancy. For more detail, see Content Search.

Use tags as searchable keywords on the content

You can assign tags that act as keywords to existing or new content so people who search later can find it. You can also assign tags to a status update. See Search and Browse Features.

For a Terms and Conditions document, add tags that match how people actually search, for example terms-and-conditions, t&c, or other terms used in your organization.

There is no option to make the Tag field mandatory. Authors have to add tags as part of your community process. See Making "Tag" a Mandatory Field.

Use synonyms when several terms should return the same results

Search synonyms improve results by associating equivalent terms. For example, you can make a search for big also return results for large and huge, or associate industry terms such as mobile, cell, and phone.

For the T&C example, configure a synonym set that includes the abbreviation and the full phrase, such as T&C, terms and conditions, terms-and-conditions.

To set up search synonyms for content items:

  1. Navigate to Admin Console > System > Settings > Search.
  2. Navigate to the Content Search > Synonyms tab.
  3. Under Synonyms, type a comma-separated list of synonyms for the required term.
  4. Click Add Synonyms.

Synonyms are language-specific. If you have multiple languages enabled, you need to enable synonyms per language. See Enabling Search in Multiple Languages.

By default, new synonyms work only on new content. If you want them to apply to existing content, rebuild the content search index as described in How to Manually Rebuild (Reindex) or Update the Content Search Index. Do not reindex during peak usage hours or a site-wide campaign.

Use promoted results when a keyword must always open a specific page

Promoting a result ensures that when users type certain keywords, a content item you select always appears at the top of the results, even if the keyword is not in the content. For example, you can make a search for Benefits always return the Human Resources page first.

You can associate multiple keywords or key phrases with a single content item by entering the terms separated by commas. You can also associate different content items with the same keyword and use the Priority field to control order.

When promoting results:

  • Promoted search only works on documents that are visible to the entire community. Avoid promoting content whose access is restricted.
  • You can promote a maximum of two links per keyword in one language by default. If you want to change the limit, contact Jive Support.
  • Keywords must be at least three characters long.

To create a promoted result:

  1. Navigate to Admin Console > System > Settings > Search.
  2. Navigate to the Content Search > Promoted Results tab.
  3. Under Promoted Results Rules, in Language, select the locale.
  4. Under Add or Edit a rule:
    1. In Priority, select the priority of the link. The starting number is 0.
    2. In Keywords, add one or more keywords separated by commas.
    3. In Content Link, enter the full URL of a content item, for example https://yourcommunity.com/docs/DOC-46692.
    4. Click Add.

Which option to use

  • Tags: Put search terms on the specific content item so that item is findable. Use this for the canonical Terms and Conditions document and similar policy pages.
  • Synonyms: Treat equivalent terms as the same search across the community, so a search for T&C can also match content that uses Terms and Conditions (and the reverse).
  • Promoted results: Force a specific canonical page to the top for a keyword, even if that keyword is not in the title, body, or tags.

For the T&C example, a practical combination is: add meaningful tags on the canonical document, configure a synonym set for the abbreviation and full phrase, and optionally promote the canonical policy page for those keywords.
