Overview
This article describes the steps to follow when a customer has a user to whom they want to provide access to just a particular space/group.
The customer has created a non-federated user account but found that the user could not be removed from All Registered Users. They don't want them to have access to the whole site, which is why they would like to remove them from All Registered Users.
Although there are Externally Accessible Groups, that forces the page to be Private/Secret which the customer wants to avoid.
Environment
Jive Interactive Intranet - Jive Core
Information
- You cannot remove a user from All Registered Users, as the name of the UserGroup implies, it must contain ALL users that are registered in the system.
- The reason for isolation is mainly why we created the External Contributor user type in the first place.
You can do this as a first step, but it's not that simple. Jive is not meant to be a "view only" platform so there is no easy way to give someone View Only access. And the changes that would need to be made will affect all the users - not just this one user.
- Space permissions are additive - when All Registered Users has more than View access and is applied to spaces, this user will have the same access as ARU, even if you've given this user specifically View only access. So you would have to remove ARU from ALL spaces or change ARU to View only and use different permission groups to give everyone else their normal access.
- You would have to remove this user's access completely to social groups - so they wouldn't be able to see them either. If you give the user View access to social groups, they can still participate in any of the open or restricted groups.
- You would have to remove the ability to create personal content from ALL users as this is a community-wide setting and can't be controlled via permission groups.
- In Spaces where someone has View only access, they can still like, share and download any uploaded files.
